Appeals Policy & Process

Overview

By utilizing the GVU UDU scheme to record Union Development Units (UDUs), members have the chance to showcase and substantiate their continuous dedication to professional development, both to their employer and the regulatory body. The GVU conducts annual audits, reviewing a minimum of up to 10% of all UDU records to ensure adherence to scheme requirements and maintain standards. This policy outlines the process for providing feedback, addressing queries, and submitting appeals regarding any GVU audit decision.

GVU UDU Scheme requirements and outcomes

UDU is obligatory for all GVU members, and the UDU Scheme is freely accessible to all members for recording their UDU.

Members who successfully fulfill the annual UDU requirements receive an online certificate as evidence of meeting these standards.

In the event of a member being selected for an audit, they will receive an additional online UDU Audit certificate upon satisfying the CPD Audit requirements.

If an audit decision reveals that a member’s UDU log does not comply with GVU UDU requirements, this information will be conveyed to the member in written form. A comprehensive explanation will be provided outlining the reasons for not meeting the requirements, and the member will be made aware of the consequences of falling short of UDU requirements.

UDU Scheme Feedback / Queries

Members seeking to provide feedback on the UDU scheme can do so by emailing: [email protected]. For those wishing to question an audit decision, a 10-working-day window is provided to raise queries, offer additional feedback, or seek clarification from the moment the audit decision is communicated to them.

All feedback and queries will receive acknowledgment within 48 hours, and the GVU will provide a comprehensive response within 10 working days. The UDU Scheme Manager will review these queries and feedback. If, after the review, there is reasonable doubt about the validity of the UDU audit decision, decisions affecting other members that may also be impacted will be reviewed and, if necessary, adjusted.

Should the GVU conclude that the audit decision should be upheld, this outcome will be communicated to the member, accompanied by an explanation of the rationale behind sustaining the decision.

Formal Appeal

Members who have undergone the feedback/query process but are still dissatisfied with the outcome have the right to a formal appeal. This appeal can be based on the following grounds only:

  • The member can furnish substantial additional information that was not available for submission during the initial UDD log production or query process and is relevant to the appeal.
  • The member possesses evidence indicating that due process was not followed by the GVU in making the audit decisions.
  • If the member can demonstrate reasons why they were unable to produce or access a UDU log. (Please note: as detailed in the GVU membership regulations, it is the responsibility of all members to keep the GVU informed of current contact details and as such, failure to receive the audit request will NOT be accepted as valid grounds for appeal).

Appeals will only be accepted:

  • The appeal request must be submitted within 10 working days of the GVU communicating the outcome from the query/feedback process.
  • The member must submit the appeal (unless there are evidenced medical reasons why the member cannot do so, and a third party has been asked to do so on their behalf).
  • All appeals must be submitted in writing.

Submitting an appeal

A fee of $100 is required for the appeal, and this fee will be refunded if the appeal is upheld.

Appeals should be directed to the Head of Membership and Professional Standards by emailing [email protected].

All appeals will be acknowledged within 48 hours via post or email. If no response is received within this timeframe, members are advised to contact the GVU Professional Standards Department by emailing [email protected]. to verify that their appeal has been received.

Appeal process and outcomes

If an appeal is granted on the grounds stated in (Formal Appeal) section above, the appeals panel, which includes at least one individual independent of the GVU, will be convened. This appeal panel will meet within four weeks of receiving the candidate’s appeal submission. A letter detailing the outcome of the appeal and any necessary action will be sent no later than two weeks after the panel has convened. In cases where the outcome of an appeal calls into question the accuracy of a GVU audit decision, the GVU will take appropriate action to review any other audit decisions that may have been affected and make amendments as necessary.

The decision of the Appeal Panel is final, and there are no further opportunities for appeal.
