Policies for our Volunteers

1- Safeguarding Policy
2.2 The Policy seeks to prevent, reduce, and eliminate opportunities for abuse for those interacting with the Charity, especially children, young people, and vulnerable adults. It also provides staff with the fundamental principles guiding the Charity’s approach to safeguarding.
This Policy should be reviewed alongside any other relevant operational policies [e.g., the Charity’s Risk Management Policy/risk register and], as may be adopted by the Charity periodically.
4.1 The Charity acknowledges the significance of the Charity Commission’s guidance on safeguarding and adheres to the following safeguarding requirements:
4.1.1 Ensuring a safe and trustworthy environment for anyone in contact with the Charity, including beneficiaries, staff, and volunteers.
4.1.2 Cultivating an organizational culture that prioritizes safeguarding, encouraging those affected to come forward with incidents or concerns, ensuring sensitive and proper handling.
4.1.3 Implementing adequate safeguarding policies, procedures, and measures to protect individuals.
4.1.4 Providing clarity on how incidents and allegations will be addressed, including reporting to relevant authorities such as the Charity Commission.
4.2 The Trustees recognize their responsibility to establish the overarching principles and governance strategies guiding the Charity’s approach to safeguarding.
5.1 Safeguarding and promoting well-being and welfare involve ensuring individuals’ rights to live in safety, free from abuse and neglect.
5.2 The Charity asserts that everyone, without exception, has the right to protection from bullying, harassment (including sexual harassment), physical or emotional abuse, and exploitation. The Charity adopts a zero-tolerance approach towards these behaviors. Discrimination, prejudice, or oppressive behavior or language related to race, sex, gender, language, religion, political or other opinions, national, ethnic or social origin, property, disability, birth, or other status is unacceptable.
5.3 The Charity recognizes that safeguarding extends beyond preventing physical abuse to protecting individuals from harm in various forms, including neglect, emotional abuse, exploitation, and the misuse of personal data.
6.1 As part of its due diligence in relation to potential partner organizations with which the Charity may fund or partner, the Charity will seek assurances that such organizations have in place adequate safeguarding arrangements, including appropriate policies and mechanisms to provide assurance on compliance.
6.2 All partners working with the Charity are required to comply with this Policy.
7.1 The Trustees will ensure the Charity has robust safeguarding and whistleblowing policies and procedures, regularly reviewing their effectiveness.
7.2 If a Trustee becomes aware of a safeguarding concern, they should report it to the Chair or another Trustee, who will seek guidance on the appropriate course of action.
7.3 In relation to grant-making activities, the Charity will include assurances in its standard grant Terms and Conditions that grant recipients have adequate safeguarding measures, policies, and mechanisms in place for compliance. The Charity will also establish clear lines of responsibility and reporting between the grant recipient and the Charity.
7.4 Regarding assessment activities, remote invigilation will not be permitted for individuals under 18, and those under 16 will not be allowed to take a test or examination at a center unless it is a school/college.
8.1 The Charity commits to promptly and appropriately address all suspicions, allegations, and safeguarding incidents, seeking professional advice when necessary. Reporting may include notifying relevant authorities such as the police, national entities, and the Charity Commission.
8.2 The Trustees recognize the duty to report serious incidents, as outlined by the Charity Commission, particularly in cases involving abuse or mistreatment connected to the Charity’s activities, harm to beneficiaries under the Charity’s supervision, or breaches of safeguarding procedures placing beneficiaries at risk.
9.1 This Policy will be included in the induction process for all Trustees, staff, and volunteers, with appropriate training provided.
9.2 Non-compliance with this Policy may be deemed gross misconduct and could be grounds for dismissal.
This Policy will undergo an annual review by the Trustees, with more frequent reviews prompted by circumstances or changes in relevant legislation.

1- Conflicts of Interest Policy
(a) GVU’s interests in any activity undertaken by it, or on its behalf, have the potential to lead it to act contrary to its interests in the development, delivery, and award of qualifications in accordance with its Conditions of Recognition,
(b) a person who is connected to the development, delivery, or award of GVU’s qualifications has interests in any other activity which has the potential to lead that person to act contrary to his or her interests in that development, delivery, or award in accordance with GVU’s Conditions of Recognition, or
(c) an informed and reasonable observer would conclude that either of these situations was the case.
(i) personal interests in any activity undertaken by an individual, or by a member of the individual’s family, have the potential to lead that individual to act contrary to the interests of GVU and its regulatory obligations in the development, delivery, and awarding of qualifications,
(ii) a person or organization with which an individual is connected has interests in any non-GVU activity which has the potential to lead that person or organization to act contrary to the best interests of GVU in the development, delivery, and awarding of qualifications, or
In addition to family members, as defined in this policy, a conflict of interest may also arise where an individual has a supervisory or close working relationship with a colleague or with colleagues of their employer, who are studying for or enrolled in an examination for a GVU qualification.
a) that has been involved in an Agreement or Transaction with GVU, or
b) that has been involved in an Agreement or Transaction with any GVU Corporate Supporter or Corporate Member, or
c) whose existing or prospective services or products could be regarded as competitive with those of GVU.
“Family Member” means a parent, grandparent, spouse or domestic partner, child, spouse or domestic partner of a child, sibling, or spouse or domestic partner of a sibling.
“Agreement or Transaction” means any agreement or relationship involving the sale or purchase of goods, services, or rights of any kind; the providing of a loan or grant; or the establishment of any other type of pecuniary relationship with GVU.
GVU undertakes regular reviews to identify and monitor all conflicts of interest and identify scenarios in which any such conflict of interest may arise in the future. All individuals identified in section 2 must be alert to the identification of conflicts of interest, whether actual, potential, or perceived. All such conflicts must be declared promptly to a member of GVU Qualifications team and reported to the Assistant Director of Qualifications so that they may be reviewed, and appropriate mitigating action taken. All staff must sign a confidentiality statement on joining GVU and inform the Assistant Director of Qualifications immediately if there is any change in their circumstances regarding conflicts of interest. All members of the Exam Board, Qualifications Advisory Boards, and exam panels above are required to sign an annual declaration confirming their agreement to maintain confidentiality of all GVU material and confirming that they have no current or anticipated conflicts of interest arising from their GVU role. All contractors must sign a confidentiality statement as part of their contract. All members of an appeal panel are required to sign a declaration confirming their agreement to maintain confidentiality of all GVU material and confirming that they have no current or anticipated conflicts of interest arising from undertaking this role on this occasion.
GVU aims to ensure that no conflict of interest will have an adverse effect on:
- learners or potential learners
- the ability to develop, deliver and award qualifications
- the standards of qualifications
- public confidence in qualifications.
Where an adverse effect arises from a conflict of interest, GVU will put measures in place to mitigate or eliminate it. In the event that there is a persistent material conflict of interest which affects the ability of a particular individual to carry out their duties, then GVU and the individual concerned should consider whether it is in the best interests of GVU that the individual continue in post. When identifying actual or potential conflicts of interest, GVU takes into account whether the conflicted or potentially conflicted individual or organisation involved in the development, delivery, or award of its qualifications:
- has an interest in the outcome of an activity;
- is likely to make a financial gain or avoid a loss;
- has any other financial or non-financial incentive
In particular, anyone with a personal interest in the outcome is not permitted to be involved in an investigation:
- into potential malpractice
- of suspected or alleged breach of confidentiality.
All reasonable steps are taken to avoid candidates being assessed by anyone with a personal interest in the outcome of the assessment, and where this is unavoidable, to ensure that any part of the assessment that they do undertake is scrutinized by someone else who does not have such an interest. Anyone with a personal interest in a decision being appealed is not permitted to take a decision on that appeal.
A Conflicts of Interest Register is maintained by GVU and is reviewed at regular intervals. Records of actual and potential conflicts of interest will be kept in accordance with GVU’s Retention and Disposal Policy.

2- Confidentiality Policy
1.2 This Policy applies to all trustees, staff, and volunteers of the Union.
1.3 This Policy has been adopted by the Union to:
1.3.1 set best practice in protecting the interests of its members, donors and beneficiaries (together referred to as ‘Members’), as well as its staff, volunteers and other stakeholders;
1.3.2 ensure all Members have trust and confidence in the Union;
1.3.3 protect the Union, its trustees, staff and volunteers; and
1.3.4 assist in complying with data protection law.
2.1.1 information about the Union, for example its plans and/or finances;
2.1.2 information about individuals, for example the Union’s members, beneficiaries and donors;
2.1.3 information about volunteers and staff; and
2.1.4 information about other organizations.
2.2 Under no circumstances should trustees, staff and volunteers share any confidential information, including with their own partners, family or friends.
3.2 You must treat all Confidential Information as strictly confidential. To maintain the confidentiality of Confidential Information, you must do the following:
3.2.1 not access or use any Confidential Information to which you have not been provided access or authorization to use;
3.2.2 not disclose, publish, communicate, or make available Confidential Information to anyone that does not have the authority to know and use the Confidential Information, except as required to perform your duties or otherwise permitted by this Policy;
3.2.3 if your duties require sharing Confidential Information with a third party, you shall not do so until the Union and the third party have entered into a confidentiality agreement;
3.2.4 not remove Confidential Information from the Union’s premises;
3.2.5 not discuss Confidential Information in public where it may be overheard, including
elevators, restaurants, cabs, and public transportation;
3.2.6 ensure visitors to the Union’s office and premises are accompanied by a member of staff at all times while in locations where Confidential Information might be accessible or become known;
3.2.7 in the event of an inadvertent disclosure of Confidential Information, immediately inform the Union’s Data Protection Officer; and
3.2.8 return any Confidential Information in your possession on termination of your employment and/or duties.
3.3 This Policy is not intended to restrict communications or actions that are protected or required by whistleblowing protection legislation such as the Public Interest Disclosure Act, or otherwise disclosing information as permitted or required by law.
3.4 If you are unsure whether information should be kept confidential, check with the Union’s Data Protection Officer before disclosing the information or taking any other action.
4.2 The trustees have overall responsibility for this Policy but have delegated day-to-day
responsibility for overseeing and implementing action to Union’s Data Protection Officer.
4.3 All trustees, staff, and volunteers will have access to a copy of this Policy, and training will be conducted as required. All trustees, staff, and volunteers are, therefore, responsible for the success of this Policy and should ensure that they take the time to read and understand it. Questions regarding the content or application of this Policy should be directed to the Union’s Data Protection Officer.
The Union reserves the right to monitor, intercept, and review trustees’, staff, and volunteers’ activities using the Union’s IT resources and communication systems, including but not limited to social media postings and activities, for legitimate business purposes. These purposes include ascertaining and demonstrating that expected standards are being met by those using the systems and for the detection and investigation of unauthorized use of the systems, including where this is necessary to prevent or detect crime.
6.1 Breaches of confidentiality will be addressed through the Union’s disciplinary procedures as appropriate. Non-adherence to this Policy will be treated as a disciplinary matter.
6.2 You may be asked to take down any social media content that the Union deems to be a breach of this Policy. Failure to comply with such a request may, in itself, lead to disciplinary action.

The Affiliate Advisory Council offers guidance and input to affiliate leaders, acting as a representative body for specific Verse-related Technologies professionals, and advocating on behalf of both these professionals and GVU.
Key Responsibilities
- Maintain regular contact with affiliate leaders in the assigned region on a quarterly basis to promote new offers and campaigns, disseminate GVU updates, and highlight the latest benefits and services offered by affiliate programs.
- Relay any concerns, issues, or innovative ideas to GVU .
- Clearly define and communicate the roles of associations and their leaders within both the affiliate network and GVU , enhancing transparency and strengthening relationships.
- Foster synergy among these groups through methods such as conference calls, email correspondence, sharing best practices, and promoting jointly sponsored and other association events.
- Actively participate in Affiliate Collaboration webcasts and engage in community discussions when relevant.
- Identify and mentor at least one potential successor for the Leadership Council, providing support and encouragement to potential candidates.
- Contribute to the development of resources and tools for GVU Affiliate Leaders.
- Assist in the development and attend the annual GVU Affiliate Leaders’ Summit.
Qualifications
- A recommendation from either GVU leadership or peers is mandatory.
- A senior-level practitioner or senior consultant with expertise in the field of Verse-related Technologies.
- A track record of leadership in local Verse-related Technologies associations.
- Demonstrated thought leadership and professional experience in Verse-related Technologies functions, with a progressive history of managing strategic development, programs, and functions.
- Diverse industry experience, encompassing both specialist and generalist roles that align with the profiles of association members.
- Exceptional communication abilities.
- Possession of a GVU designation is preferred.
Time Commitment
- A term spanning One year.
- Be present at the annual in-person Leadership Union strategy meeting.
- Engage in Leadership Union conference calls as per the designated schedule.
- Be responsive to requests for feedback through email and phone on a range of topics.

These committee members actively engage in the development and validation of the GVU-Verse-Tech – Body of Knowledge (GVU-Verse-Tech-BoK™) for designated certification programs, guaranteeing that the practices adhere to contemporary professional norms.
Key Responsibilities
Collaborate as a member of a team with the responsibility to oversee the development of a unified Body of Knowledge (BOK), which is crucial for setting and upholding a high standard of excellence in the professional field.
Play a role in shaping the examination criteria for the credential, with a specific focus on ensuring that the most crucial and commonly used competencies necessary for achieving excellence in practice are accurately represented.

Overview
The Support Members Scheme offers accredited members in distress immediate, confidential, and non-judgmental support at no cost. This service is facilitated by a central team and a global network of unpaid volunteers. The spectrum of issues addressed is diverse, ranging from personal challenges to pressures to engage in unethical conduct at work or concerns related to a disciplinary case. Regardless of the problem, the primary role of the support members is to lend a listening ear and guide the member toward relevant specialist sources of advice.
Who are support members?
Support member volunteers are drawn from diverse backgrounds, each bringing a unique set of skills and expertise to the program. The goal is to ensure that support members are representative of the various Verse-related Technologies sectors in which our members are engaged. This diversity allows for a broad range of perspectives and experiences, enhancing the effectiveness of the support provided.
What is the workload like?
Rest assured, the role of a support member is not burdensome, and the majority of support members typically handle only one or two inquiries annually. While inquiries are predominantly managed through email or telephone communication, there may be occasions when it is deemed appropriate to meet with a member in person. Despite the infrequency of interactions, the service provided by support members is immensely valuable to the members they assist.
What help will I get in this role?
As a support member, GVU will offer you comprehensive initial induction training and an annual conference. The conference serves as a platform for updates on crucial issues and provides an opportunity to connect with fellow support members.
You will also receive access to a secure online community designed specifically for support member volunteers. This platform offers detailed insights into the role, information about relevant GVU departments, instructional sheets, and guidance on managing inquiries. It further facilitates the sharing of information, experiences, and discussions related to inquiries.
To keep you informed, support member newsletters are distributed twice a year, complementing the resources available in the online community. It’s important to note that there is no charge associated with the training provided.

- Ensure the timely fulfillment of all agreed-upon deadlines and development timelines.
Qualifications
- A senior or mid-level practitioner or consultant within the Verse-related Technologies fields.
- A minimum of 2 years of professional experience in Verse-related Technologies functions.
- Preference given to those with GVU Trainer certifications and previous teaching or training experience.

- Aids the association in gaining a deeper understanding of its markets and customers and contributes to the determination of the most effective methods for reaching and engaging key audiences.
- Identifies additional subject-matter experts and knowledge leaders who can support the organization in various capacities to extend GVU’s reach and influence.
- Represents the profession’s interests and serves as a dedicated advocate for GVU.
- Assists in aligning GVU Council activities with GVU’s mission, strategy, and objectives.
- Engages wholeheartedly in meetings, task teams, and other related activities.
Qualifications
- A recommendation from GVU leadership and governance is necessary.
- A senior-level practitioner, holding the position of director or higher, or a senior consultant in the Verse-related Technologies professions.
- A recognized thought leader with a minimum of 2 years of professional experience in Verse-related Technologies roles, demonstrating a growing role in strategic development, programs, and functions.
- A diverse industry background, encompassing both specialist and generalist experiences that align with the membership’s profile.
- Exceptional communication abilities.
- Preference is given to those with GVU certification designation(s).
Time Commitment
- Join the annual in-person GVU Council gathering, typically held once a year and often coinciding with a GVU conference or event. An extra meeting may be necessary.
- Take part in GVU Council virtual meetings, which occur 4-6 times throughout the year.
- Be responsive to requests for feedback and contributions on a range of thought leadership materials, which may include research, surveys, articles, tools, and more.

- Incorporate both professional and personal experiences to complement the provided course materials.
- Effectively oversee the classroom environment, including the allocation of time and managing participants’ expectations.
- Interact with participants, whether in person or virtually, using platforms like Zoom
Qualifications
- Experience in public speaking or presenting, or previous training in Verse-related Technologies, is a mandatory requirement.
- Having recent GVU Certification(s) is preferred. If you haven’t obtained certification within the past two years, you must complete the course and exam you plan to teach.
- A minimum of 2 years of professional experience in the specific domain of the course you intend to teach is essential.
- You should be a senior-level practitioner in one of the Verse-related Technologies.
- Having professional experience across various industries is advantageous.
- Previous teaching experience is also preferred.
- A pre-screening video will be used to evaluate your delivery style, subject knowledge, and the depth of your expertise in the given topic. In the video, you can choose one of the following options:
- Record a 10-minute Zoom video in which you teach a module from the course.
- Deliver an impromptu 10-minute presentation on a Zoom video, explaining the significance of the topic to Verse-related Technologies professionals and highlighting the key aspects that one must comprehend.
Time Commitment
- Engaged faculty members are relied on to accept a minimum of three teaching assignments annually, which may vary from 1/2 day to several day commitments.

*Members of the Speaker Bureau can choose to present existing content or take part in content development for a presentation. Those who opt for content creation are expected to share their preliminary research, craft presentation content, and outline scripted speaking notes, allowing the presentation to be delivered by professionals worldwide. For content creators, GVU offers content consultation, a branded PowerPoint template for creation, as well as graphic design and copy editing services.
Qualifications
- Demonstrated experience in addressing, presenting to, and instructing large and diverse professional learning audiences.
- A proficient and well-versed practitioner or consultant specializing in the specified topic area.
- Proficiency in articulating ideas with clarity, precision, and alignment with GVU standards.
- If you haven’t presented at a GVU event in the past three years, we request a sample video that illustrates your delivery style, engagement approach, and expertise in the subject matter. We recommend recording a 10-minute Zoom video that includes a personal introduction, a summary of the topic’s significance to Verse-related Technologies professionals, and the key learning objectives.
- Possessing a broad perspective, which includes exposure to various industry sectors, is desirable.
- This position may entail domestic or international travel, with expenses covered by the sponsoring entity.
